How to view and send emails in Calendly

Connect your email to Calendly so you can view and send emails without leaving the app. You can manage conversations from a contact’s details page and keep all context in one place.

In this article, you’ll learn how to:

  • Connect your email to Calendly
  • View emails on a contact’s details page (Gmail only)
  • Send emails directly from Calendly
  • Fix common email sync issues

Before you begin

Gmail has two separate connection types in Calendly:

  • Schedule and remind – Used for Workflows and Share availability
  • Send and view conversations – Used for syncing emails, replying to synced threads, and sending emails

To view, sync, reply to, or send emails in Calendly, you must connect Send and view conversations.

Outlook users can send emails in Calendly.

Sync your inbox with Calendly (Gmail only)

Gmail users can sync their inbox to view email activity in the contact details page. This requires the Send and view conversations connection.

  1. Go to Integrations & apps.
  2. Select Gmail.
  3. Next to Send and view conversations, choose Connect.
  4. Follow the prompts to connect your account.
  5. When asked, check the box to allow Calendly to View your email messages and settings.

After you sync Gmail:

  1. Go to Contacts.
  2. Select a contact.
  3. Open the Emails tab.

You’ll see a timeline of emails related to that contact in one place.

Send emails from Calendly

Connect your Gmail or Outlook account from the Integrations & apps page to send emails to your contacts directly from Calendly.

After your account is connected:

  1. Go to Contacts.
  2. Hover over the contact you want to email.
  3. Select Send email.
  4. Check the sender and recipient email addresses.
  5. Write your message.
  6. Select Send.

Frequently asked questions:

When you connect Gmail using Send and view conversations, Calendly syncs:

  • Emails from the last three years
  • All new emails going forward

No. Calendly does not store email bodies. We pull the data in real time when you view an email, and we do not save it.

If you disconnect Gmail sync, you can choose to:

  • Keep data: Previously synced email details stay in Calendly
  • Delete data: All synced email details are removed

Gmail syncing may stop if:

  • You don’t use your Calendly account for 90 days (sync pauses, data stays)
  • You downgrade to the Free plan (sync stops and data is deleted)

If not, your Gmail permissions may be incomplete or disconnected. When this happens, Calendly can’t sync your email activity.

  1. Go to Contacts.
  2. Find the banner that says, “Your Gmail account is disconnected. Reconnect to keep contact profiles complete and up to date.
  3. Select Reconnect.
  4. Follow the on-screen steps to sign in to Gmail.
  5. When asked, check the box to allow Calendly to View your email messages and settings.

Once access is restored, your email activity will start syncing again.

You can send Workflows and share your availability without syncing your inbox.

To draft and send emails in Calendly, you must connect your email provider to Send and view conversations.
