How to add or remove users and seats

With Calendly, you can easily manage users and seats. Each team member gets their own Calendly link and gains access to multi-user features, including centralized billing, collaborative scheduling, and reporting. Get started by inviting team members to join your Calendly account.

Before you begin

Free plan users:

  • If you're on Calendly's Free plan, you'll be prompted to upgrade to a paid plan and purchase seats before you can add team members.

Paid plan users:

  • Owners and Admins: Owners and Admins of Calendly organizations count as a paid user seat on your Calendly subscription. At this time, we do not have and 'Admin' role in a Calendly organization that does not take up a seat. 
  • Paid plans with open sets: If you're already on a paid plan with open seats, you can invite users without purchasing additional seats.
  • Paid plans with no open seats: If your account has no open seats, you will be prompted to purchase additional seats before sending invitations.

Permissions and limits for adding users:

  • By default, both admins and group admins can invite users. You can adjust these permissions in the Permissions page under the Invitations tab.
  • A user can only be part of one organization at a time. If a user is already in another organization, their owner or admin must remove them before they can join your organization.
  • You can add up to 100 users at a time.

Add users and paid seats

Adding users

When adding a new user, Calendly checks if there are available open seats. If there’s an open seat, it will be assigned to the new user. If not, you’ll need to purchase a new seat before sending the invitation.

  1. Go to your Users page in your Admin Center, then select Invite users.
  2. Enter the email addresses of the users you want to invite.
  3. (Optional for users on Teams and Enterprise plans) Assign the users to a group.
  4. Select Next.
  5. If you need to add seats, a popup will show the seat details and prorated costs. Confirm the changes to continue.
  6. Assign user or admin roles for each person and select Next.
  7. (Optional) Assign Managed Event types for each person.
  8. Select Send invitation.

Adding seats without inviting users

You can add seats without immediately inviting users. This allows you to expand your seat count for future use, even if you’re not ready to invite new users yet.

  1. Go to the Admin Center and select Billing.
  2. On your Billing page, select Add seats.

  3. Enter the number of seats you’d like to purchase and confirm by selecting Add seats.

What's next?

  • You can monitor pending invitations in the Pending tab on the Users page.
    • There is no expiration on user invitations.
    • If a user hasn’t accepted their Calendly invite after 7 days, Calendly automatically sends a one-time reminder email.
    • The user must be logged into Calendly with the same email the invite was sent to.
  • Once a user accepts the invite, new Calendly users will set up their account, while existing users will join with their personal events and settings intact.
  • If a user can't accept the invitation, they may see an error like "You're already in a different organization" and be prompted to contact Support to complete the change. 

Remove users and paid seats

Removing a user

When you remove a user from your organization, their paid seat remains available. This lets you invite a new user to fill the seat without needing to purchase an additional one.

  1. Go to your Users page in your Admin Center.
  2. Choose the user you want to remove and select Remove.

You’ll see two options:

  • Remove: Frees up the seat, but the user keeps their personal Calendly account.
  • Remove and delete: Also permanently deletes the user’s account. This option is available only if the user created their Calendly account while joining your organization.

Once removed, whether or not their account is deleted, the user receives a notification email. If not deleted, they’ll move to Calendly’s free Basic plan and can continue using their account independently.

Removing a seat

If you don’t plan to invite another user to fill an open seat, you can remove the unused paid seat.

  1. Go to the Admin Center and select Billing.
  2. On your Billing page, select Remove seats.

  3. Enter the number of seats you'd like to remove and confirm by selecting Remove seats.

Leaving your current organization for non-Admin users

If you are a part of a Calendly organization and want to leave it: 

Ask an Owner or Admin of the organization to remove you: 

  • They should go to their Admin Center, then select Users
  • Find your name in the user list. 
  • Select the 3 dots 37964570186519 next to your name and select Remove
  • Confirm removal. 

After you're removed: 

  • Your personal Calendly account will remain active.
  • You can continue using your Calendly account independently. 

Frequently asked questions

The Standard plan is unavailable if you are trying to assign the user to a group.

Groups are only supported on the Teams plan and higher. To use groups, you’ll need to upgrade your plan or add the user without assigning them to a group.

You can’t reduce your seat count below the number of users currently assigned.

Before lowering seats, remove or unassign users until the total number of assigned users matches (or is less than) your desired seat count.

To remove a user, go to the Admin center and select Users. Choose the user you want to remove, then select Remove. Learn more about removing users.

  • You'll be charged a pro-rated amount based on your billing cycle.
  • If the user already paid for a subscription, we’ll refund the unused portion — no action needed.

  • Removing a user doesn’t remove their seat
  • Active seats stay on the account for easier replacements

Want to remove a seat? Follow these steps.

This error usually means you are logged into a different Calendly account.

Try these steps:

  1. Open the link in a private or incognito browser window.
  2. Make sure you are logged into the correct Calendly account.
  3. Log out of any extra Calendly accounts open in other tabs.

Then try the link again.

Only an organization admin or owner can remove users from an account.

If you want to leave the organization, contact your admin and ask them to remove you.

What if I can’t contact the admin?

If you no longer have contact with the admin or owner, contact us.

For security reasons, you may need to verify your account before changes can be made.

If your organization offers Calendly, you must be invited to join their account.

To join:

  1. Check your inbox for an invitation email.
  2. Look in your spam or junk folder if you don’t see it.
  3. Make sure you are logged in with the same email address that received the invite.
  4. Accept the invitation.

If you did not receive an invite, contact your organization’s Calendly admin. Only an admin can add you to the account.
